Costing & Admin Executive – Marketing

Job Purpose:

To support the marketing and international business development team by managing costing activities, handling administrative coordination, and ensuring smooth operations across departments involved in product promotion and market entry strategies.

Experience:

Minimum: 2–3 years

Preferred: 4–6 years in pharma costing/admin, preferably in an export-oriented company.

Key Responsibilities:

1. Costing Responsibilities:

  • Prepare accurate product cost sheets (API, excipients, packaging, formulation, overheads, logistics).
  • Monitor and respond to business-related emails promptly.
  • Address important updates, inquiries, and action points in a timely manner.
  • Maintain up-to-date costing databases in coordination with purchase and production teams.
  • Assist in pricing strategies for international markets based on costing and market trends.
  • Analyze operational costs to support decision-making for tenders, quotations, and sales proposals.
  • Ensure costing aligns with regulatory and customer-specific requirements.

2. Administrative Support:

  • Assist the marketing team with documentation and coordination for product registration, exhibitions, business visits, and client communications.
  • Manage vendor and distributor databases.
  • Handle internal communication and coordination with cross-functional departments (QA, QC, R&D, Regulatory, Finance, etc.).
  • Assist in the preparation of business proposals, presentations, and reports.
  • Maintain marketing documentation such as product dossiers, samples, and promotional material.

3. Coordination & Reporting:

  • Coordinate with external vendors (Transporters, logistics companies, etc.) for marketing materials and shipment planning.
  • Generate reports on costing analysis, sales margins, quotations, and budgets.
  • Support travel planning and expenses for marketing/business development team.

Key Skills & Requirements:

  • Strong knowledge of pharmaceutical costing (preferably in exports/generics segment).
  • Good understanding of pharma export documentation and regulations.
  • Excellent skills in MS Excel, Word, PowerPoint.
  • Strong organizational and multitasking abilities.
  • Attention to detail and accuracy in reporting.
  • Good written and verbal communication skills.
  • Ability to coordinate across departments and manage administrative workflows.

Educational Qualification:

  • B.Com / B.Sc / B.Pharm with additional certification in costing/accounts/admin preferred.
  • MBA (Finance/Admin/Operations) is an advantage.
